How to Create WhatsApp Template Message?

A template is the only way to message a customer who hasn't written to you in the last 24 hours — every broadcast uses one. Create it here, Meta approves it, and it's ready for campaigns.

Before you start

  • Your WhatsApp number connected (WhatsApp Settings → Connect WhatsApp).
  1. 1

    Open WhatsApp Templates

WhatsApp Automation → WhatsApp Templates → New template. Or click Template library and start from a ready-made one for your industry.

  2. 2

Name it and pick a category

The name is for you — customers never see it. Category: Marketing for offers and announcements, Utility for order updates and reminders, Authentication for one-time codes. Meta charges and filters by category, so pick honestly.

  3. 3

    Choose the template type

Template type sets what appears above the message: just text, a bold title, an image, a video, a PDF or a map pin — or a swipeable Carousel, or a Limited time offer with a countdown. For an image, video or PDF, pick it from your Media Library or upload from your computer.

  4. 4

    Write the message

Type the body — use the toolbar for bold, italic and lists — or click Generate by AI at the top and describe the template you want. Tap the {{1}}, {{2}} chips to add variables — when you send, each one is filled per customer (their name, a city, a custom field). Keep it short: WhatsApp hides long messages behind “Read more”.

  5. 5

    Add buttons (optional)

Add button → Quick reply, Visit website or Call phone number. Buttons get far more taps than links in the text.

  6. 6

    Check the preview, then submit

The phone on the right is exactly what the customer sees. Click Submit for Approval. Meta usually decides in minutes, sometimes a few hours; the status changes from Pending to Approved or Rejected on its own.

Good to know

  • Rejected? The usual reasons: a variable at the very start or end of the message, two variables side by side, or a marketing message submitted as Utility.
  • Marketing templates automatically get a “Reply STOP to unsubscribe” footer — it keeps your quality rating up.
  • Approved templates made directly in WhatsApp Manager appear here after you click Sync.
