Template library

The WhatsApp messages each kind of business actually sends — and which Meta category each one needs, because that is what gets templates rejected.

Marketing

Promotions and announcements. Needs opt-in, and only inside the 24-hour window unless the customer wrote first.

Utility

A message about something the customer already did — an order, a booking, a payment. Can be sent outside the 24-hour window.

Authentication

One-time codes. Short, strict format, and worth a delivery window so a late code is never delivered at all.

By industry

Start from the set for your industry and change the wording — the structure is what matters for approval.

Real Estate

Buyers go quiet for weeks and come back suddenly. The templates that earn their keep are the ones that survive that gap.

Enquiry acknowledged

Utility

Fires the moment someone messages from a click-to-WhatsApp ad: what they asked about, the price range, and a button to see the floor plan.

Site visit confirmed

Utility

Date, time, address and a map pin, sent when a visit is booked — plus a reminder the morning of.

New launch announcement

Marketing

A broadcast to buyers segmented by budget and location. Links are tracked, so you see who opened the brochure.

Price drop / offer

Marketing

For a specific project, to the people who enquired about it and went quiet.

Education

Admissions run on deadlines, and fee reminders are the difference between a full batch and a half one.

Admission enquiry received

Utility

Confirms the course and batch asked about, with the prospectus attached.

Fee reminder

Utility

Amount, due date and a payment link. Can be triggered from your fee system through the API.

Class or exam schedule

Utility

Sent to a batch. Reaches parents who never open email.

New batch starting

Marketing

A broadcast to past enquiries who did not enrol — usually the warmest list a coaching centre has.

E-commerce

Order messages get opened. That is why the abandoned-cart one works and the same message by email does not.

Order confirmed

Utility

Items, total and expected delivery, sent from your store integration the moment an order is placed.

Out for delivery

Utility

With a tracking link. Cuts the "where is my order?" messages more than any other template.

Abandoned cart

Marketing

One message a few hours later with what they left behind and a button back to the cart.

COD confirmation

Utility

Asks the customer to confirm a cash-on-delivery order before it ships, which is how returns get cut.

Healthcare

Reminders reduce no-shows more than anything else here, and nothing in these messages should carry clinical detail.

Appointment confirmed

Utility

Doctor, date, time and location, sent when the booking is made.

Appointment reminder

Utility

The day before and an hour before, with buttons to confirm or reschedule.

Report ready

Utility

Tells the patient a report is available and where to collect it — deliberately without the result itself.

Health check-up camp

Marketing

A broadcast to patients who have opted in, for a camp or a seasonal check-up.

Financial Services

Speed and delivery windows matter most: a one-time code that arrives late is worse than one that never arrives.

One-time code

Authentication

A short code with a delivery window set, so WhatsApp stops trying rather than delivering it after it has expired.

Transaction alert

Utility

Amount, merchant and time, sent immediately.

Document request

Utility

Asks for a specific document with a secure upload link, and chases it if it does not arrive.

Policy renewal due

Utility

Renewal date and a payment link, with a reminder sequence rather than one message.

Automobile

Service reminders are predictable revenue; test drives are the conversion moment.

Test drive booked

Utility

Model, showroom, date and time, with a reminder before it.

Service due

Utility

Based on the last service date or kilometres, with a button to book a slot.

Vehicle ready for pickup

Utility

Sent when work is finished, with the invoice total.

New model / offer

Marketing

A broadcast to past enquiries and existing owners, segmented by model.

Tech & SaaS

The useful templates here are about onboarding and support, not promotion — and this is the industry most likely to drive them from its own backend through the API.

Welcome / onboarding step

Utility

Sent on signup, with the one action that gets a new user to value. Usually triggered from your own system.

Trial ending

Utility

Days remaining and a link to upgrade.

Ticket update

Utility

Status change on a support ticket, so the customer stops checking.

Feature announcement

Marketing

To users who opted in. Works best segmented by who actually uses the area you changed.

Events & Webinars

Registration is easy; attendance is the problem. The reminder sequence is the whole template set.

Registration confirmed

Utility

Event, date, joining link and a calendar attachment.

Day-before reminder

Utility

The single highest-impact message for attendance.

Starting in an hour

Utility

With the join link again, because nobody scrolls back for it.

Thank you + recording

Marketing

After the event, with the recording and the next step — which is where webinar leads actually convert.

Two things worth knowing before you submit

  • Variables are positional. Write them as {{1}}, {{2}} and map them to contact fields in the campaign builder. Meta rejects a template whose sample values do not match its variables.
  • A delivery window is worth setting. On utility and authentication templates you can tell WhatsApp how long to keep trying. An OTP delivered an hour late is worse than one never delivered.
